How to switch from Housecall Pro to Trusso

The hard part of leaving Housecall Pro isn't opening a new account — it's moving your customer list without losing history, and knowing exactly what transfers before you cancel anything.

This guide walks through the whole switch: exporting your data from Housecall Pro, importing it into Trusso, what moves automatically, what needs a manual pass, and a go-live checklist. Most small crews complete it in an afternoon.

Why crews leave Housecall Pro

The pattern in reviews is consistent: pricing climbs steeply with team size — $149/month covers only five users on Essentials, then $35/month per extra user — and the marketing suite that justifies the price often goes unused by crews that get work from marketplaces and referrals.

Trusso is flat-priced ($29–$99/month, no per-user fees) and automates the step Housecall Pro leaves manual: it imports your Angi, Thumbtack, Yelp and Google leads, answers them fast, and drafts the estimate with AI.

Step 1 — Export your data from Housecall Pro

Housecall Pro emails exports as CSV files, so you'll have everything in your inbox within a few minutes. Do this while your subscription is still active:

  1. 1

Open the Customers tab, click More, and select Download customer list. Choose "Send me the file" — the CSV arrives by email from notifications@housecallpro.com.

  2. 2

Open the Jobs tab, click Actions, and select Export. Confirm your email address and click Send File to receive your jobs CSV the same way.

  3. 3

Export any estimate and invoice reports you want for your records from the Reporting section.

  4. 4

Save photos or attachments you need from individual jobs — file attachments are not included in CSV exports.

If you're on annual billing, note your renewal date so you can time the cancellation and avoid paying for an unused year.

Step 2 — Import your customers into Trusso

Trusso's CSV import recognizes Housecall Pro's column names out of the box, so the customer list lands with no spreadsheet surgery:

  1. 1

Start a free 14-day Trusso trial — no card required — and open the web dashboard.

  2. 2

Go to Customers → Import CSV and choose the Housecall Pro export file. The first row should contain column names, which Housecall Pro exports include by default.

  3. 3

Check the column mapping. Housecall Pro column names are recognized automatically — names, email, mobile vs landline numbers, address, tags, notes and lead source. Adjust anything with the dropdowns, or set a column to "Don't import".

  4. 4

Preview the import. Trusso shows every row, flags possible duplicates by matching email or phone, and skips rows with no name. Duplicates are skipped by default.

  5. 5

Hit Import and watch the progress bar. Large lists are fine — imports run in batches of 200, and any rows that fail are listed with the reason.

Imported customers are never opted into SMS automatically — text-message consent stays off until you confirm it per customer, so you stay compliant from day one.

What moves over automatically

  • Customer names. First and last names, plus business/organization names — rows with a business name are tagged as business customers automatically.

  • Contact details. Email addresses and phone numbers, with mobile and landline recognized separately.

  • Addresses. Street, city, state and ZIP map to the customer's service address.

  • Tags and notes. Customer tags and free-form notes come across intact.

  • Lead source. Where each customer came from, if your export includes it.

What to handle manually

  • Open estimates and scheduled jobs. Re-create work in flight in Trusso — with AI estimates this is minutes per job, and it's a good forcing function to close out stale quotes. Pro and Unlimited plans include hands-on migration support from Housecall Pro if you'd rather have help.

  • Job history and past invoices. Historical jobs and invoices stay in your exported CSVs as your archive. You don't need them live to run day-to-day work, and you keep them for taxes.

  • Photos and attachments. Download the ones you care about from Housecall Pro before your account closes.

  • Recurring service plans. Rebuild any recurring schedules in Trusso once your customers are in.

  • Your price book. Rebuild your rates in Trusso's price book — import support can help carry your Housecall Pro price book across.

Go-live checklist

  • Spot-check the imported list: customer count, a few names, phone numbers and addresses against Housecall Pro.
  • Set up your price book and service rates.
  • Re-create open estimates and upcoming jobs.
  • Connect payments (Stripe or Square — Venmo and Zelle also supported) and send yourself a test invoice.
  • Set up lead capture: connect the Angi, Thumbtack, Yelp or Google sources you buy leads from so new leads import and get answered automatically.
  • Invite your crew from Settings — every Trusso plan covers your whole team with no per-user fees.
  • Keep your old exports in a safe folder as your historical archive, then cancel the old subscription once everything checks out.

What switching saves: Trusso vs Housecall Pro

Housecall Pro's Basic plan is $59/month billed annually ($79 month-to-month) for a single user. Essentials is $149/month for up to 5 users, and MAX is $299/month for 8 users plus $35/month per additional user.

Trusso runs $29–$99/month flat with no per-user fees, and includes the AI lead capture and AI estimates on every plan. For a 5-person crew that's roughly a third of the price — before counting the admin hours the AI saves.
